Job Summary:

The Front Desk Officer is the first point of contact for visitors, clients, and employees, representing the company’s image. This role involves managing the reception area, handling inquiries, providing administrative support, and ensuring a smooth flow of communication within the office.

Key Responsibilities:

  1. Greet and welcome visitors in a professional and friendly manner.
  2. Direct visitors to the appropriate personnel or departments.
  3. Maintain a tidy and presentable reception area.Manage visitor logs and issue security badges.
  4. Answer and direct incoming calls, taking messages as needed.Handle inquiries via phone, email, and in person.
  5. Distribute incoming mail and packages.
  6. Prepare outgoing mail and shipments.
  7. Provide general administrative support, such as photocopying, scanning, and filing.
  8. Assist with data entry and record keeping.
  9. Monitor access to the office and ensure security protocols are followed.
  10. Respond to emergencies and follow established procedures.

Qualifications and skills:

A higher national diploma or equivalent and additional qualifications in office administration or related fields are a plus.

Proven experience as a front desk officer, receptionist, or in a customer service role is preferred.

Excellent communication and interpersonal skills.

Strong organizational and multitasking abilities.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook). 

Ability to handle stressful situations and maintain composure. 

Professional appearance and demeanor.

Knowledge of office procedures and basic bookkeeping is a plus.
