Job Summary
The Administrative Officer will provide comprehensive administrative support to ensure the smooth and efficient operation of the department. This role will involve managing administrative tasks, coordinating schedules, and supporting the department’s overall goals.
Key Responsibilities
- Manage calendars, schedule meetings, and coordinate travel arrangements for department staff.
- Prepare and maintain accurate records, files, and reports.
- Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
- Provide general administrative support, such as photocopying, scanning, and filing.
- Maintain a well-organized and efficient office environment.
- Manage office supplies and equipment.
- Coordinate office events and meetings.
- Provide administrative support for various department projects.
- Maintain accurate and up-to-date databases and records.
- Prepare and analyze data as needed.
- Oversee the daily operations of the department’s fleet of vehicles.
- Coordinate vehicle maintenance, repairs, and inspections.
- Track vehicle mileage, fuel consumption, and maintenance costs.
- Coordinate vehicle assignments and scheduling.
Qualifications and Skills
High school diploma or equivalent required.
Minimum of 5 years experience in an administrative role.
Strong organizational and time management skills.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Attention to detail and accuracy.
Ability to work independently and as part of a team
